Guests under the age of 18, including infants, are not permitted in conference sessions, the general sessions, concurrent sessions, or the receptions. RGCC North America and the Denver Marriott Tech Center comply with the requirements specified by the Americans with Disabilities Act (ADA). Animals
Live animals are prohibited within the Denver Marriott Tech Center without approval, other than animal(s) that serve as a guide or service function as defined by ADA. Questions? Contact sara@convene-ops.com.

Cancellation Policy 
Registration cancellations must be received in writing via email no later than September 15, 2024; phone call cancellations are not accepted.

Please remember that cancelling your registration does not automatically cancel your hotel reservation and travel arrangements. Individuals are responsible for canceling their own hotel and travel reservations.

Conference attire is business casual. Dressing in layers is recommended since the temperature in meeting rooms can vary.

Conference Program 
Presenters' materials and slideshow presentations provided to RGCC North America will be available in the RGCC North America 2024 Fall Gathering conference app. They will not be printed. An email will be sent prior to the conference with instructions on how to access the app. 

Name Badges
Registered attendees must always wear their official conference name badge to access conference events. The badge is nontransferable.

Substitution Policy 
Substitution of registered attendees is permitted within the same organization. Written notification is required via email

RGCC International GmbH is committed to providing a safe, supportive and respectful conference experience regardless of a person’s race, color, ethnicity, national origin, citizenship status, age, religion, disability status, gender, gender identity, sexual orientation, genetic information, physical appearance or other characteristics. RGCC International GmbH expects conference participants to communicate professionally and constructively and to uphold the professional and educational purposes of the conference. We expect cooperation from all participants to help ensure a safe environment for everyone.

Unacceptable Behavior
Harassment of conference participants or RGCC International GmbH staff in any form is prohibited. Unacceptable behavior includes, but is not limited to, offensive verbal comments, expressed or implied threat of physical or professional harm, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Reporting Unacceptable Behavior
Unacceptable behavior will not be tolerated. If you experience or notice others experiencing any of the above unacceptable behavior or have any other concerns, please contact Sarah Funk at sarah.funk@rgcc-international-northamerica.com.

RGCC's Commitment
RGCC North America will investigate all incidents reported with discretion and confidentiality. RGCC North America reserves the right to bar any attendee who violates this Code of Conduct from attending future conferences.

PARTICIPATION ACKNOWLEDGEMENTS

ATTENDANCE CONSENT

By registering for this event, the registrant consents to allow RGCC North America to use personally identifiable information ("PII") collected for official purposes associated with this event only. RGCC North America uses information collected to process charges to credit cards.

The registrant acknowledges and agrees that by completing registration for this event, they grant permission to RGCC North America to include their name and relevant professional details on the attendee list. The registrant understands that the attendee list may include the following information:

  • Full Name
  • Company/Organization Name
  • Designation/Title
  • Contact Information (if provided during registration, e.g., email address, phone number)

The attendee list is intended to facilitate networking opportunities and foster meaningful connections between event participants. RGCC North America prioritizes the privacy and confidentiality of personal information and will only share the information necessary for the purposes stated above.

By agreeing to this waiver, the registrant releases RGCC North America from any liability related to the sharing of their information with participants as part of the attendee list.

If, for any reason, a registrant does not wish to be listed on the attendee list or has any concerns regarding the sharing of their information, they should promptly notify RGCC North America by contacting Sara Olán before the event's conclusion.

LIABILITY WAIVER
We care about the health and safety of all our attendees and are committed to ensuring your safety while attending the meeting, interacting with colleagues, and participating in sessions. Our planning team will regularly monitor federal, state, and local guidelines to update our requirements accordingly. 

The registrant acknowledges there are risks when traveling to and attending events and agrees to take full personal responsibility for themselves and their belongings. By registering for this event, the registrant agrees to indemnify and hold harmless RGCC North America, and its governing bodies, officers and employees, its host venue, and supplier partners from any and all loss, damage or liability arising out of or related to their attendance and/or participation at this program/event.

  • Specifically relating to the global COVID-19 pandemic, the registrant acknowledges the highly contagious nature of COVID-19 and voluntarily assumes the risk of exposure or infection by attending the meeting and that such exposure or infection may result in personal injury, illness, disability, and/or death to the registrant. The registrant understands that the risk of becoming exposed to or infected by COVID-19 at the meeting may result from the actions, omissions, or negligence of others who may attend the event or their families, colleagues, or others with whom they may have contact. Accordingly, the registrant understands and agrees that this release includes any claims based on the actions, omissions, or negligence of RGCC North America, and its governing bodies, officers and employees, its host venue, and supplier partners, whether a COVID-19 infection occurs before, during, or after participation in the meeting. The registrant assumes all risks and accepts sole responsibility for any injury, including, but not limited to, personal injury, disability, theft, illness, damage, loss, claim, liability, or expense of any kind that may incur in connection with attending this event(s).
  • In addition to all other rules and regulations, the registrant agrees to comply with all COVID-related procedures that may be implemented by RGCC North America and the Denver Marriott Tech Center in order to protect as much as possible the health and safety of all event attendees.

MULTIMEDIA RELEASE
The registrant understands that RGCC North America may plan to take photographs and video of this event. Registration, attendance, and/or participation in RGCC North America events as an attendee constitutes an agreement by the attendee to RGCC North America's use and distribution of the attendee's image in photographs or any electronic reproductions of such events and activities. The registrant gives RGCC North America permission to use, reproduce, print, and/or publish their name, likeness, image, voice, and/or appearance in any media, including, but not limited to, pictures, photos, audio and/or video recordings, digital images, and the like, taken or made on behalf of RGCC North America and or at RGCC North America activities (hereinafter, the "Materials"). The registrant agrees that RGCC North America may use the materials for any purpose consistent with its missions. These uses include but are not limited to, illustrations, bulletins, exhibitions, audio and/or video recordings, reprints, news releases, reproductions, publications, advertisements, marketing campaigns, websites, social media pages and posts, and any promotional or educational materials in any medium now known or later developed, including the Internet. The registrant understands that RGCC North America will have complete ownership of the materials and acknowledges that they will not receive any compensation for RGCC North America's use of their name, likeness, image, voice, and/or appearance in the materials.

As a participant, should the registrant wish to share images in any form from this event, they agree to give appropriate credit for the source of any images and seek prior approval by contacting the branch office.
